A process defines a set of steps to follow in order to do something from making a cup of tea, to developing a website. Processes can be used to define projects.

In the webBRIEFCASE Toolkit an activity is a record describing some work to be done. Activities of many types can be added including: meeting, travel, incident, (service management), request for change, programme, project, objective, resource usage, etc.

When you save the activity, if you have a group activity coordinator, they should route the activity to the next relevant group/role.

A calendar is required to collect timesheet entries. It will be assumed by the Timesheet Toolkit that all entries in that calendar, are to be included in the timesheet.

Usually, a single calendar will be required per person per customer.

Select the timesheet calendar. Click on a date/time and add an entry. Ensure you select a work stream so it can be know which customer is to be charged.

To cancel a meeting - write [CANCELLED] in the subject of the meeting invite. This will keep the invite in the delegates calendar as a placeholder in case the meeting is re-instated. It will also give the delegate a chance to keep the appointment marked as busy, and control over if and when to delete the appointment.

  • Edit the records you wish to change

We use Mindmeister for collaborative mind maps.
  1. Map out the system which has the problem.
  2. Mark using 1, 2 or 3 icons the likelihood that each element of the system is the cause of the problem.
  3. Focus on the 1's first, and analyse each element. If isn't the cause: put a tick on the element. Do this until you've checked all elements.

A future version of the timesheet toolkit will automatically create invoices for approved timesheets.

For now, use you calendar to total the amount of work for each client, and create your own invoice.

Before deleting a worksheet, you should carefully consider whether to hide it instead. Especially if the worksheet contains potentially valuable information.


If you do decide to delete the worksheet, right click on the worksheet tab name, and select "Delete". You will be asked to confirm your action.

There are 2 main types of data.

Master data is data presented in drop-down lists. Activity Types is an example of master data. Website administrators should review the pre-defined master data on the webBRIEFCASE Toolkit website to ensure it is suitable for the organisation.

Transactional data is data which is added day-to-day. It is likely that the webBRIEFCASE Website Administrator would NOT need to add/modify this.

You may only put an activity on hold if you have issued a communication to the requester, and a response to the communication is required in order to continue any work. If any work can continue, the activity cannot go on hold yet.

Attempts should be made to contact a customer using instant communications, e.g. via phone or chat, rather than via email. Especially if the activity is high or highest priority.

While the activity is on hold the service level agreement (SLA) clock pauses on the activity.

To put an activity on hold - set the status field value to "On hold".

Once a response has been received from the requester, the activity must be put back to another suitable status from the point at which the response was received e.g. when an e-mail arrived in the inbox (not when it was read).

Select the activity you wish to schedule time for. Click new calendar event and add a time to process the activity. Repeat this until you have enough time allocated for completion of the activity. Determine whether you can complete the activity within agreed service level agreement (SLA) target timescales. If you can't, you may need to adjust the timeslots to be early/closer together.

To submit a timesheet for processing: first check that all the timesheet entries are correct. Adjust accordingly if necessary.

Click here to create a new timesheet submission. Complete the details in the form and save it.

The timesheet coordinator will periodically check for timesheets at an appropriate time, and process them once the timesheet submission is received.

Once you have requested a website, simply wait for the website to be set-up. This is currently done with a manual process. In future, website set-up will be automatic.
